Job Description

We are looking for a detail-oriented, proactive Admin / Junior Project Coordinator to support our fibre installation and infrastructure projects. This role bridges the gap between technical teams, customers, and suppliers — ensuring that projects move efficiently from feasibility through to completion.

The ideal candidate is highly organized, has strong Excel and data-tracking skills, and can communicate clearly and professionally with both internal teams and clients.

Key Responsibilities:

 Project Administration

  • Coordinate day-to-day activities related to fiber installation and infrastructure projects.
  • Track project progress from feasibility through installation and sign-off.
  • Maintain up-to-date project dashboards and progress trackers in Excel or SharePoint.
  • Prepare and circulate daily/weekly project status reports.
  • Maintain documentation, permits, and handover files for each project site.

 Customer Communication

  • Update customers on project status, expected timelines, and any delays.
  • Send professional, well-written emails and ensure consistent follow-up.
  • Act as the first point of contact for queries related to scheduling, progress, or billing.

 Feasibility & Quoting

  • Request and process network feasibilities from fibre providers.
  • Prepare and issue customer quotations based on provided templates and rates.
  • Liaise with suppliers and contractors to confirm pricing, timelines, and resource availability.

 Invoicing & Financial Tracking

  • Capture completed projects and prepare invoices for billing.
  • Assist with supplier purchase orders and job costing.
  • Reconcile job data between quotes, installations, and invoicing.

 Reporting & Data Management

  • Maintain accurate databases of project sites, customer information, and installation details.
  • Produce management reports summarizing project performance, turnaround times, and bottlenecks.
  • Support management with ad hoc data analysis (e.g., cost tracking, SLA performance).

 Internal Coordination

  • Work closely with technical teams, suppliers, and accounts to ensure project milestones are met.
  • Escalate issues or delays proactively to the Project Manager.
  • Support process improvement initiatives to streamline communication and workflow.

Required Skills & Attributes:

  • Excellent Excel skills: formulas, lookups, conditional formatting, data validation.
  • Strong attention to detail — accurate, thorough, and consistent in documentation.
  • Excellent written and verbal communication — professional email etiquette.
  • Organized and methodical — able to manage multiple tasks and priorities simultaneously.
  • Tech-savvy: comfortable working with cloud tools (Microsoft 365, SharePoint, Teams, etc.).
  • Analytical mindset — able to interpret data and highlight trends or issues.
  • Problem-solver: able to anticipate issues and propose solutions.
  • Customer-focused: communicates clearly and maintains a positive, helpful tone.

Qualifications & Experience:

  • Minimum 2–3 years’ experience in an administrative, coordination, or project support role.
  • Exposure to fibre, ISP, or IT infrastructure environments is advantageous.
  • Proficient in Microsoft Excel, Outlook, and general Office 365 apps.
  • Basic understanding of quoting, invoicing, and supplier coordination processes.
